PURPOSE OF THE POSITION:

The Facilities Support Coordinator is the first point of contact at our Calgary Headquarters and plays a central role in ensuring a professional reception experience, efficient administrative operations, and seamless facilities and project support. This role supports day‑to‑day front desk operations while providing administrative, procurement, and project coordination support to the Facilities team.

 

POSITION ACCOUNTABILITIES:

  • Welcome and direct visitors, contractors, and staff; maintain building access logs and issue badges and security passes as required
  • Manage the main reception area, including incoming calls, emails, and general office inquiries
  •  Receive, sort, and distribute mail, packages, and courier deliveries
  •  Coordinate meeting room bookings and ensure common spaces are organized, professional, and presentable
  • Order, track, and maintain office supplies
  • Support the coordination of company meetings and events as needed
  • Create and process purchase requisitions, work orders, and invoices; ensure accurate and timely document management
  • Generate and track Investment Funding Requests (IFRs) and other project governance documentation
  • Provide administrative support to Facilities Managers and Project Managers (e.g., document preparation, cost tracking, contract documentation, and vendor coordination)
  •  Enter, maintain, and update data within Facilities Management systems (e.g., SAP) related to work orders, leases, contracts, and vendor records
  • Assist with vendor setup in coordination with Accounts Payable, including service orders and contract documentation
  • Support new utility account set‑up, monitor utility usage, and assist with sustainability reporting through utility data collection
  • Provide administrative and analytical support for ad hoc projects or requests
  • Perform other related duties as assigned by the Facilities Manager

 

POSITION REQUIREMENTS:

  • High school diploma or general equivalency; Degree in Business Administration, Office Management, or a related field preferred
  • Minimum of 2 years’ experience in office administration, facilities coordination, or a similar support role
  • Experience in project or financial administration is considered an asset
  • Proficiency in Microsoft Office applications (Outlook, Word, Excel)
  • SAP or ERP system experience strongly preferred
  • Strong organizational skills with a high level of attention to detail
  • Excellent written and verbal communication skills with a professional, customer‑focused approach
  • Ability to work independently while contributing effectively within a collaborative team
  • Demonstrated discretion and judgment in handling confidential information
  •  Experience with purchase requisitions, work orders, and document tracking workflows is highly desirable
  • Bilingual proficiency in English and French is preferred

Management Conductor Program

Becoming a qualified conductor or locomotive engineer is the single best way for a management employee to learn the business at CPKC. You may be required to obtain a certification or to maintain your current certification/qualification as a conductor or locomotive engineer.
